A database is one centralized file created using Microsoft Access that stores related information in a set of data tables. Then, additional layers are created to add in Queries that are used to search for and retrieve specific information. Forms are then created to make data entry as easy as possible and if you already use paper or electronic forms, these can easily be replicated and often improved. Reports can also optionally be developed and contain static details along with dynamic sections where data from either a Table or a Query are displayed and overall summaries and totals, etc. are added. Macros create the automation component used to tie everything together as one centralized system. How to Start To get started, just send GS an email with a brief description of your database needs or a list of what information items you wish to track (typed or hand-written - either is fine). Include any copies of data entry forms you use today too or would like to use. Plus, if you are using other types of files like Excel or Word, for example, samples of these are helpful too. Next GS will then review your database needs, may likely have a few questions, and will then provide a mock-up of what your database system will look like along with a pre-work quotation. With your approval, GS will build your custom database. When ready, the file can be emailed to you for use. You will also receive a one or two-pager "How To Use Your Database" document that includes clips of data entry forms and/or reports along with navigation and shortcut tips. Optionally, you can also book a remote Zoom session and receive training, if needed, but often clients find that GS Databases are so naturally intuitive, they can just jump in and start using the system. Note: upon first use, you will need to set a database option to "trust" (a one-time only step, then close and re-open the file and you'll be good to continue.
